The Position:
As a member of the HR Client Services and Outreach Team, you will be providing administrative support to the talent acquisition function, manage contracts with external sourcing companies, manage contractual arrangements with donors and provide logistical support to outreach missions.
You will report directly to the HR Adviser, Talent Acquisition.

Job Purpose:
The HR Associate, Staffing will provide administrative support to the talent acquisition function, manage contracts with external sourcing companies, manage contractual arrangements with donors and provide logistical support to outreach missions.
You will report directly to the HR Adviser, Talent Acquisition.
You would be responsible for:
A. Provide HR services in recruitment for international professional staff at P5 and above:
● Implement the recruitment process; provide input to job classification process, prepare vacancy announcement (review job descriptions and competency requirements), organize and coordinate the interview and selection process, prepare summaries and documentation for decision makers and appointment bodies;
● Prepare long list of candidates in the e-Recruit system in accordance with established procedures and quality standards; test e-Recruit upgrades as required;
● Provide HR services in staff administration for international professional staff globally and general service staff at HQ;
● Assist in producing documentary evidence required by auditors during audit sessions;
● Monitor contractual status of P5 and above staff: advise on appointments, extensions and separations; inform HR Advisor, Talent Acquisition on staffing issues to be followed up with the respective HR Business Partner;
● Create/update RPAs through UNDP HR Workbench, verify chart fields (COAs), and update COA information, set up vendor. Timely follow up with Finance staff and/or HR Information Associate on COA;
● Work with HR Analytics to generate required HR reports (e.g. staff approaching retirement, staffing with contract expiry date, pay-slips etc.);
● Liaise with UNFPA Travel Unit on UNLPs issuance/extension;
● Respond to staff questions, with the guidance, as necessary, of supervisor;
● In the absence of the HQ HR Associate and Team Assistants provide back-up support in GS recruitment at HQ and contract administration for consultants;
● Provide back-up support, as required, to the HR Specialist, Partnerships
B. Administrating contractual arrangements and interview logistics
● Provide logistical support to the recruitment process for secondees, JPOs and other youth and partnership programmes; including administering technical tests as needed, coordinating and facilitating interviews, including preparation of interview notes and reports;
● Monitor and report on data as needed;
● Provide support and oversee the administration of all contractual arrangements of executive search and related recruitment services firms, including MOU’s or agreements with educational institutions;
● Serve as procurement focal point for talent acquisition related procurement activities.
C. Providing logistical and administrative support to sourcing, branding and talent acquisition initiatives
● Support the preparation of documents for outreach missions and special recruitment / acquisition / branding and sourcing projects and initiatives internally and externally;
● Serve as the logistical focal point for such activities; making travel and hotel arrangements, prepare travel authorizations and book venues where needed;
● Provide training initiatives for HR focal points on recruitment procedures, standards and trends;
● Identify and procure marketing supplies as needed;
● Participate, as requested, in meetings/events, including minute taking; proactively ensuring successful execution of the above;
● Support meetings with high-ranking visitors, ensuring appropriate protocol and procedures for all appointments and meetings.
Qualifications and Experience:
Education:
Secondary Education with specialized certification in Human Resources, Administration or recruitment.
Knowledge and Experience:
- 6 years of progressively responsible HR and/or administrative experience is required.
- Experience in the usage of computers and office software packages (MS Word, Excel, etc.) and experience in handling web based management systems
Languages:
Fluency in English; knowledge of other official UN languages, preferably French and/or Spanish, is desirable.
